What is the difference between archive and trash in Gmail?

Archive removes a message from your Inbox and keeps it in All Mail indefinitely, so it still counts toward your storage. Delete moves it to Trash, where Gmail keeps it for 30 days and then erases it for good. Archive is for mail you might want again; delete is for mail you never will.

The short answer

Gmail gives you three ways to get a message out of your Inbox, and they differ in exactly two things: whether the message still exists, and whether it still uses your storage.

ArchiveDelete (Trash)Delete forever
Where the message goesAll Mail, with its labelsTrashNowhere
How long Gmail keeps itIndefinitely30 days, then erasedErased now
Can you get it backYes, any timeYes, within 30 daysNo
Counts toward storageYesYes, until it is erasedNo

Archive is a filing action. Delete is a removal with a 30-day grace period. Delete forever, which you only see inside Trash and Spam, skips the grace period.

What archive does

Archiving removes the Inbox label from a message and nothing else. Google's help puts it plainly: an archived message "no longer appears in your inbox, but you can still find it under the 'All mail' label." Any other labels you added stay attached, and search still finds it. (Gmail help)

Three details matter in practice:

  • It never expires. There is no timer on All Mail. A message archived in 2012 is still there.
  • Replies bring it back. If someone answers a conversation you archived, the whole conversation returns to your Inbox. To stop that, use Mute instead, which archives the conversation and keeps future replies out of the Inbox too.
  • It is easy to find. Search in:archive to list mail that has been archived, or open All mail from the left-hand menu (under More on a computer).

Because the message is untouched, archiving changes nothing about your storage. That is true at every major provider, not only Gmail; Does archiving email free up space? covers Outlook, iCloud, and Yahoo.

What delete does

Deleting moves a message to Trash. It stays there for 30 days, during which you can open Trash, select it, and move it back to the Inbox or any label. After 30 days, Gmail deletes it permanently. (Gmail help)

One exception catches people out: a deleted draft cannot be recovered from Trash. Everything else can, within the 30 days.

While a message sits in Trash, it still counts toward your storage. Gmail, Drive, and Photos share one allowance, and Google counts Trash and Spam against it until those messages are gone. (Google One help) So deleting 5,000 newsletters today does not change your storage bar today; it changes it 30 days from now, or the moment you empty Trash.

What delete forever does

Open Trash and two more options appear: Delete forever for selected messages, and Empty Trash now for all of it. Both skip the remaining days of the timer. Google's help is clear that once a message is permanently deleted, "you can't recover the message." (Gmail help)

There is one safety net, and only for work and school accounts. On Google Workspace, an administrator can restore permanently deleted mail for a further 25 days, a window that starts 30 days after the message was deleted. (Google Workspace admin help) A personal @gmail.com account has no equivalent. When Trash is empty, the mail is gone.

Which one to use

The useful question is whether you would ever open the message again.

  • Archive mail you might need later: receipts for things still under warranty, travel confirmations, anything from a person. It costs storage, but it is safe.
  • Delete mail you will never open: promotions, expired notifications, newsletters you stopped reading. The 30-day Trash period is your undo button.
  • Empty Trash when you need the space now, for example when Gmail has stopped receiving mail because your storage is full. Check Trash for anything you deleted by mistake first.

In most long-lived mailboxes, the second group is the large one, and it comes from a short list of senders. Deleting by sender rather than message by message is how the pile actually shrinks. Inbox Scrub ranks senders by how much of your mailbox they account for and deletes theirs in bulk, which is the same choice described here made a few thousand times at once.

Why your phone keeps archiving

The Gmail app archives by default when you swipe a message away. Most people who are surprised that their storage never goes down have been swiping for years.

You can change it. In the app's settings, open Swipe actions and set the left or right swipe to Delete. On Android it sits under General settings, next to Default notification action, which decides whether the button on a new-mail notification archives or deletes. (Gmail help)

On a computer, the keyboard shortcuts are e to archive and # to delete, once keyboard shortcuts are turned on in Settings. (Gmail help)

Common mix-ups

  • "I archived thousands of emails and my storage didn't change." Expected. Archive moves nothing off the server. Search the archive for the senders you do not need, delete them, then empty Trash.
  • "I deleted everything and storage still says full." Trash counts until it empties, and Google says the storage total can take up to 24 hours to catch up after that. More in Does email count toward Google storage?
  • "Something I deleted a month ago is missing." If it has been more than 30 days, it has been permanently deleted. On a personal account it cannot be restored. On a work account, ask your administrator quickly; their window closes 25 days after yours does.

Questions people ask

Can I get back an email I archived in Gmail?
Yes, at any time. Open All mail or search in:archive, select the message, and choose Move to inbox. Archived mail is never removed automatically.
How long do deleted emails stay in Gmail Trash?
Thirty days. During that time you can move them back out of Trash. After 30 days Gmail deletes them permanently and they cannot be recovered.
Do emails in Trash count toward my Google storage?
Yes, until they are permanently deleted. Emptying Trash yourself releases the space immediately instead of waiting for the 30-day timer.
Why does the Gmail app archive when I swipe?
Archive is the app's default swipe action. You can change either swipe direction to Delete in the app's Swipe actions setting.
